Save & Export

Saving and exporting files at the library's internet PCs must be done in two steps:
1. Save the file(s) to the export folder.
2. Export the file(s) to a memory stick or send it via e-mail.

How to Save Files

Save Web Pages

First right-click on blank space within the page you want to save. The context-sensitive menu will pop up.

If you see the option "Aktueller Frame", click on it and choose the option "Nur diesen Frame anzeigen". If you don't see "Aktueller Frame", just close the context-sensitive menu (left-click on blank space within the page).

Click the button "Datei" in the menu bar of the browser and then click "Seite speichern unter...".

A new window will appear. Here you may also change the file name, if appropriate. Please do not use blanks or special characters in the file name. Click "Speichern". Now you are done with saving, the next step is to export.

Save PDF files

Full text journal articles, for example, are mostly available as PDF files. In this case you will have an additional navigation bar above the displayed document.

For saving, click the icon Diskette in this new bar.

A new window will appear. Here you may also change the file name, if appropriate. Please do not use blanks or special characters in the file name. Click "Speichern". Now you are done with saving, the next step is to export.

Other File Formats / Databases / Screenshots

For saving other file formats (Word, Excel, Powerpoint etc.) right-click the shown link (do not open the document!), then click "Ziel speichern unter". Unfortunately it is not possible to save this type of documents directly, since the installed viewers do not provide this option. A new window will appear. Here you may also change the file name, if appropriate. Please do not use blanks or special characters in the file name. Click "Speichern". Now you are done with saving, the next step is to export.

You can also save information from databases with a web interface. In this case please follow the instructions given under Save Web Pages).
Some databases run with the auxiliary programme "ICA-Client". This programme prevents direct saving; the built-in export function of each database should be used. If necessary, do not hesitate to ask the library staff for assistance.

You may also take a screenshot of the information displayed on the screen. This is a useful method in case the export function should not work.

Open the page you wish to take a screenshot from. With the screenshot you will only save the content of the screen you currently see.

Press the button "Bildschirmkopie" in the menu bar of the browser.

Select the file format (GIF, JPG, PDF).

In order to open GIF- or JPG files, you need a graphics programme, for example IrfanView (http://www.irfanview.com/), which is free of charge. In order to open PDF files, you need the Adobe Reader (http://www.adobe.de/products/acrobat/readstep.html), which is free of charge, too.

The conversion process now starts (and may take some seconds).

Afterwards you will be shown the file name, which has been assigned to the screenshot so that you can find it in the export folder.

Press "okay". Now you can export the newly generated file either to a memory stick or send it via e-mail (see instructions below).

How to Export Files

After having stored a document temporarily as described above, you can now save it to a memory stick or send it via e-mail.

Export File(s) to a Memory Stick

Insert the memory stick and wait for a peep. The beep indicates that the PC has recognized the stick (some 95% of the commonly used sticks is recognized by the machine).

Click the button "Export" in the menu bar of the browser.

After a short while, the window "UB Export" will appear. On the left-hand side you will see the content of the export folder, on the right-hand side the content of your stick. Next to the file name, the size is indicated.

If you want to check whether the temporary storage was done correctly, highlight a file, click "Datei" in the "UB Export" window and afterwards "Datei anzeigen / öffnen".

Select the files you want to export on the left hand side of the window by mouse click and click "Kopieren auf USB" in the icon bar above.

You have the option to create directories in which you can export your files directly. In the menu bar click on "Datei" and then "Verzeichnis anlegen" (create directory). A directory will appear on the right. Click the name of the directory and then the green arrow on the very right.

When you are finished, delete all files from the export folder by highlighting each file and pressing the key "Entf" on your keyboard.

Send File(s) via E-mail

Click the button "Export" in the menu bar of the browser.

After a short while, the window "UB Export" will appear. On the left hand side of the window you will see the content of the export folder. Next to the file name, the size is indicated.

Please note: you can send only one file at a time! Select a file by mouse click and then click "E-Mail". Enter your e-mail address and click "Mail senden"

If you want to send more than one file at a time, you can save these files in a so-called ZIP Archive. For example, if you want to export a web page and you chose the option "Webseite, komplett", you will see a subdirectory containing all graphics etc. beside the saved web page (e.g. export1.html). Highlight the files and directories you want to send by mouse-click. Then click "Packen auf 1,4 MB". Assign a name for the future archive (e.g. export1) and click "Dateien Packen".

After a short while you will find a file with the extension ".rar" (e.g. export1.rar) in the folder. This file can now be sent.
For putting the parts together again you need a ZIP programme.

The file will be sent as an e-mail attachment to the e-mail address you entered. Please note: you may encounter problems when you try to open the file and you have not retrieved the mail via an e-mail system. We recommend to use an e-mail programme such as "Mozilla Thunderbird", which is free of charge.

After having sent the e-mail, delete all files from the export folder by highlighting each file and pressing the key "Entf" on your keyboard.
