Publication Fund

Bielefeld University‘s Publication Fund supports the publication of open access monographs, edited volumes, contributions to edited volumes, and articles in open access journals. The resources for the fund are made available by Bielefeld University and the Deutsche Forschungsgemeinschaft.

This funding instrument is aimed exclusively at scientists who are employed by Bielefeld University at the time of submission of the manuscript. They must be classified as “submitting author” or “corresponding author”.

Changes regarding Frontiers
Since the beginning of 2022, an application for funding must also be submitted for publications in Frontiers journals. It is no longer sufficient to submit the article from the university's IP range! The background to this is that the provider Frontiers has changed the pricing of its publication fees. In future, these will often exceed 2,000 euros. Since the maximum funding amount of the publication fund remains unchanged at 2,000 euros, cost splitting is therefore possible since the beginning of 2022.   • The articles are to be published in a journal whose articles are entirely open access. As a rule, such journals are listed in the Directory of Open Access Journals (DOAJ). A searchable list of the most frequently cited, quality controlled open access journals can be found in this table.
  • The publishers and journals use strict quality control procedures („peer review procedures“).
  • The maximum funding amount is 2,000 euros.
  • If the article processing charges exceed 2,000 euros, partial payment of the fee is possible. The maximum amount of funding from the university's publication fund is also 2,000 euros. Any charges beyond this must be borne by the authors from their own resources („co-payment“). In order to enable the University Library to process the invoice and to transfer both partial amounts to the publisher, a cost centre account must be specified.
  • The submitting author must ensure that the funded publication includes the following acknowledgment:
    "I/We acknowledge support for the publication costs by the Open Access Publication Fund of Bielefeld University and the Deutsche Forschungsgemeinschaft (DFG)."
  • Bielefeld University has concluded agreements relating to the funding of article processing charges with the publishers MDPI, Cogitatio Press, Copernicus, and PeerJ. When the above-mentioned funding criteria are met, the Publication Fund will cover the publication fees without the authors having to submit an application for funding. However, it is essential that the article be submitted from Bielefeld University’s IP range!
  • There are separate agreements with the publishers Wiley and Springer Nature in the context of the DEAL consortium. Please observe the instructions for submission to Wiley or Springer Nature journals.

 Invoicing

  • When submitting your manuscript to the publisher, please give the following billing address: Bielefeld University Library, Acquisitions Dept., PO Box 10 02 91, 33502 Bielefeld, Germany.
  • Request the publisher to state its VAT ID number and the VAT ID number of the university (DE 811307718) .
  • Request the publisher to state the name of the submitting author on the invoice, too.
  • The publisher can send the invoice electronically, preferably as an X-invoice, to eingang@erechnung.nrw, stating the routing ID 05711-06001-79.
  • If the publisher is not yet able to create an X-invoice, the invoice can exceptionally also be sent to invoice@uni-bielefeld.de as a PDF file.
  • You are welcome to inform us via oa.ub@uni-bielefeld.de if you realize that the publisher has sent the invoice to the university library. If the publisher nevertheless sends the invoice to you, please forward it to oa.ub@uni-bielefeld.de.
  • Contributions to open access edited volumes can only be funded if the complete volume is accessible in „Open Access“.
  • The publishers use strict quality control procedures („peer review procedures“).

  • When submitting your manuscript to the publisher, please give the following billing address: Bielefeld University Library, Acquisitions Dept., PO Box 10 02 91, 33502 Bielefeld, Germany.
  • State the University Library’s VAT ID number: DE 811307718.
  • Request the publisher to state its VAT ID number and the name of the submitting author on the invoice.
  • If the publisher nevertheless sends the invoice to you, please forward it to oa.ub@uni-bielefeld.de.
  • Funding is provided for scientific publications of authors who are employed as scientists with Bielefeld University at the time of submission of the manuscript to the publisher.
  • Funding is not provided for the publication of Bachelor theses, or Master theses.
  • Monographs and edited volumes will be supported with a funding amount of up to 4,500 euros gross. Any charges beyond this must be borne by the authors from their own resources („co-payment“).
  • Funded publications must include the following acknowledgement:
    "I/We acknowledge support for the publication costs by the Open Access Publication Fund of Bielefeld University and the Deutsche Forschungsgemeinschaft (DFG)."

Invoicing

The publication fee charged by the publisher to the author must first be paid by the author him- or herself, either from a faculty cost centre account or from personal funds. (Funding towards the costs of monographic publications was formerly known as a „printing allowance“.) Applications can be submitted during the publication process, but the grant amount can only be transferred after the work is published. The invoice received from the publisher can be subsequently submitted with the application for funding from the Publication Fund.

Application Procedure:

  • Complete the online form.

  • If the publication fee was paid out of personal funds, a number of personal details of the author are required to enable the funding amount to be transferred (see online form).
